Meiji Holdings Co., Ltd. ("Meiji Holdings," "us," or "we") recognizes the importance of protecting your privacy and personal information, and follows laws and regulations concerning personal information. Meiji Holdings has established this Privacy Policy, which outlines our commitment to maintaining the safety of your personal information, such as preventing data leakage incidents.

"Personal information" herein means personally identifiable data and information pertaining to an individual ("you"), such as your name, home address, telephone number, or e-mail address.

2. Collection of Personal Information

Meiji Holdings collects personal information to the extent necessary and in a lawful and fair manner. We manage personal information pertaining to minors in the same manner as that pertaining to adult customers. However, when necessary, we will obtain parental consent toward the use of such information.

3. Specifying the Purpose of and Restricting the Use of Personal information

Meiji Holdings will use your personal information in order to provide quality information and services to our customers. Upon receiving your personal information, we will specify, for each relevant business service, the purpose for using the information, and use it only for the purpose that we disclosed to you. We will ask for your consent before changing the purpose of use.

Meiji Holdings will use retained personal information for the following purposes.
(1) Purpose of use for personal information related to shareholders
a. To respond to inquiries from shareholders and create records related to said inquiries
b. To confirm shareholder identity
c. To send documents as well as perks and benefits to shareholders

(3) Purpose of use for personal information related to participants in human trials
-To implement human trials and analyze said results

-For health management and administrative procedures related to human resources

-Filing, submitting, or applying for asset formation-type housing funding plans and asset formation-type pension plans

-Providing personal information to an executive or employee stock ownership program about a member belonging to that program
-Creating payment statements related to real estate transactions
-Creating payment statements related to compensation, fees, contract amounts, and bonuses

4-1. Disclosing Personal Information to External Parties: Outsourcing

Meiji Holdings may outsource the management of the Personal information to an external agent within the scope necessary to achieve the purpose of use which we disclosed to you (if the agent is an overseas agent, we will obtain your prior consent toward the outsourcing). In such case, we will enter into a contractual agreement with the agent concerning the protection of the Personal information after confirming that they are fully prepared and committed to protecting the Personal information, and take supervisory measures as appropriate.

Meiji Holdings may jointly use the following retained personal information for the following purposes

4-3. Disclosing Personal Information to External Parties: Third Parties

In principle, Meiji Holdings will not disclose your personal information to any third party except for the outsourcing activities and joint use mentioned above. In the rare case that we disclose personal information to a third party, we will, in principle, obtain your prior consent. However, there may be cases in which we disclose personal information without prior consent, such as when disclosure is required by a court, police, or a similar public institution, or when disclosure is necessary to fulfill our legal obligations.

5. Dealing with the Individual's Requests concerning the Personal information

If you wish us to disclose, correct, add to, delete, suspend the use of, or (if applicable) suspend any third party's access to your personal information or disclose records provided to third parties, or if you wish to inquire about the purpose of use or make a complaint, please contact the number shown below and we will comply with your request promptly and to a reasonable extent after verifying your identity. If your request necessitates us taking steps such as providing, correcting, or suspending the use of information, we may first check your contact details or other personal details in order to verify your identity.

6. Managing Personal Information with Due Care

Meiji Holdings manages personal information with due care. We assign one or more persons to be in charge of managing customers' personal information, and take various other stringent measures to protect personal information from unauthorized access, loss, destruction, falsification, or leakage. In managing personal information, we also take care to ensure the accuracy of the information.

Specifically, we implement the following measures to ensure the appropriate management of personal information.

(Organizational safety management measures)
-We designate supervisors responsible for the handling of personal information (executive in charge of personal information protection, department-level personal information protection supervisors)
-We have established a reporting & communication framework for reporting to the executive in charge of personal information protection or a personal information protection supervisor upon discovery of a current or potential violation of the law or the abovementioned internal rules.
-We conduct regular self-inspections and cross-department audits to confirm the status of personal information handling.

-We display educational materials and conduct training for executives and employees concerning matters of caution related to personal information handling.

(Physical safety management measures)
-We implement measures to prevent theft or loss of devices, electronic media, or documents containing personal information.
-We implement measures to prevent the easy identification of personal information when moving devices or electronic media containing personal information, including the movement of devices within the same plant or office.

(Technological safety management measures)
-We apply access restrictions to limit the range of persons with access privileges and the personal information they are allowed to handle.
-We have implemented a framework for protecting information systems containing personal information from unauthorized external access or malicious software.
